Terms of Service
These terms describe the general conditions for accessing and using Kopano OS. A signed proposal, order form or implementation agreement may add or replace specific commercial terms.

1. Acceptance and scope
By creating an account, accessing a workspace or using Kopano OS, the customer and its authorized users agree to these terms and any applicable written order, proposal or agreement.
2. Accounts and authorized use
Customers are responsible for accurate account information, protecting credentials, assigning appropriate permissions and ensuring users act within their authority. Accounts may not be shared in a way that defeats agreed user limits or security controls.
3. Customer data
The customer retains ownership of data submitted to Kopano OS. The customer is responsible for the legality, accuracy, quality and authorization of that data. Kopano OS may process the data only to provide, secure, support and improve the service, subject to applicable agreements.
4. Acceptable use
Users must not use the service unlawfully; attempt unauthorized access; interfere with availability; upload malicious code; infringe third-party rights; or use the platform to process information they are not permitted to control.
5. Subscriptions and fees
Subscription prices, billing periods, user or branch limits, implementation fees and third-party costs are governed by the selected plan or written proposal. Fees are payable when due. Access may be limited or suspended for overdue amounts after reasonable notice, where applicable.
6. Implementation and customer responsibilities
Successful implementation may require timely requirements, source data, decision makers, testing, training participation, infrastructure access and formal acceptance. Delays caused by missing customer inputs may affect timelines.
7. Service availability and changes
Kopano OS may be updated to improve functionality, security and reliability. Planned maintenance or circumstances outside reasonable control may temporarily affect availability. Any specific service-level commitment must be stated in a written agreement.
8. Intellectual property
Kopano OS, its software, documentation, branding and underlying methods remain the property of their respective owner or licensor. Customers receive a limited right to use the service during the applicable subscription or licence period.
9. Security and backups
Both parties share responsibility for security. Customers must manage users, permissions, devices and operational procedures. Hosting, backup and recovery responsibilities depend on the selected deployment and written agreement.
10. Suspension and termination
Access may be suspended or terminated for material breach, unlawful use, security risk or non-payment, subject to applicable agreements and notice requirements. Data export or retention arrangements should be agreed before termination where necessary.
11. Warranties and liability
The service is provided according to the applicable plan and written commitments. To the extent permitted by law, neither party is liable for indirect or consequential loss. Any specific warranty, indemnity or liability cap must be stated in the governing commercial agreement.
